Terms of use for YCT portal

Welcome to the YCT portal of Ypsomed AG (Ypsomed).

The information and functions provided on this portal are intended exclusively for you to be certified or recertified by Ypsomed as a pump trainer for the Ypsomed infusion systems.

The YCT portal digitises both your pump trainer tests as well as the issuing and delivery of the certificate upon successful passing of the test.

Please read these Terms of Use and the Privacy Policy carefully and accept them before accessing our YCT portal.

1 User account

The YCT portal is only accessible to Ypsomed trainers, pump trainers and system administrators.

You can access the YCT portal in two ways

  • Online self-registration
  • if your Ypsomed trainer has registered you on the YCT portal and authorised you to do so. In this case, your user name is generated by Ypsomed. You cannot change or modify it yourself.

The user account will remain valid as long as you are working as a pump trainer for Ypsomed. However, Ypsomed reserves the right to block or delete the account immediately and also to block you as a pump trainer if there is concrete evidence of illegal use of this YCT portal.

2 Usage of the portal

The YCT portal is available to you for the following functions:

  • Performing your assigned certification test,
  • Viewing the results of previous tests
  • Downloading acquired certificates
  • Completion and adaptation of your user profile
  • Changing your password

The system supports the process of pump trainer certification in compliance with the desired deadlines.

The YCT portal automatically sends e-mails in the following cases:

  • If you have forgotten your password or wish to reset it
  • Confirmation of your registration
  • Invitation to complete your user profile
  • Invitation to perform an online test
  • 1. Reminder for performing the test after 14 days
  • 2. Reminder for performing the test after 4 weeks
  • Message after successful passing of the test with attached certificate
  • Message to Ypsomed trainer after failing the test twice
  • Message to Ypsomed trainer when a pump trainer has obtained a certificate
  • For re-certification, the system automatically sends an invitation message for the new online test after a predefined period (usually 12 months).

3 Limitation of warranty and liability

We endeavour to keep the information and data provided on our YCT portal correct and up-to-date. We do not assume any guarantee for the constant availability and access to our YCT portal, nor do we guarantee that the functions and data transmission will be interference-free and uninterrupted.

Ypsomed shall not be liable for damages or disadvantages that you have incurred as a result of the use or inability to use our YCT portal. In particular, this disclaimer also applies to damages caused by viruses or other harmful programs as well as in any other way to your device, your programs or your data.

3.1 Copyright and other intellectual property rights

All contents of this YCT portal, such as texts, images, photographs, illustrations, graphics, logos, symbols, names, product and company names are protected by copyright.

You are permitted to view the information and data displayed in the YCT portal on the screen. Furthermore, you may also print, copy, download and save the contents if the following conditions are met:

  • Their use is limited exclusively to your private, non-commercial use.
  • You shall refrain from any alterations to the content, the references to copyrights or legally protected trademark rights.
  • You shall not publish the content you use on other Internet websites or media.

For any other use beyond this, in particular for any commercial use, you require the prior written permission of Ypsomed.

Data protection

The protection of your personal data is very important to us. Here you can find out more about when we collect personal data about you when using the YCT portal and how we store, process and use the data.

2 Personal Data

Personal data is all information that allows identification of your person. For example, this includes the name, address, telephone number, e-mail or IP address.

When accessing the YCT portal, we collect personal data about you. We process personal data in accordance with data protection regulations and only to the extent necessary to provide the service or content you have requested.

3 Automatically collected data

3.1 Server log files

The YCT portal logs all user accesses and activities and automatically saves these data, so-called server log files, with time stamps.

The server log files are only used to improve the YCT portal. However, we reserve the right to check the server log files in case of concrete suspicion of illegal use. For security reasons, you therefore have no option of rejecting the collection of this data.

The following data are logged automatically:

  • Registration with date and time
  • Login/logout with date and time
  • Activation, deactivation, creation and deletion of users
  • Editing of user data
  • Performing tests
  • Browser used
  • Operating system used
  • IP address used

Access to the server log files is restricted to a few system administrators of Ypsomed and our service provider e3N (for address see 6.1).

Legal basis for data processing:

The legal basis for the temporary storage of data and server log files is our legitimate interest in maintaining the functionality of the Internet page.

Duration of storage:

The log files of the web and mail servers are irrevocably deleted after 7 days.

3.2 Test protocols

The YCT portal logs and saves each completed online test. The test log is saved as a read-only PDF document on the YCT portal and contains the following information:

  • Unambiguous reference (ID) for the performed test
  • Identity of the pump trainer (first name/surname/e-mail)
  • Time stamp of performed test
  • Answer provided by the pump trainer per question
  • Overall result of the test and whether passed or not.

The Ypsomed trainer can download the test protocols and save and archive them locally in the national company. These protocols are not available to the pump trainer.

Purpose and legal basis for data processing:

The purpose of processing the data is to prove that tests have been conducted and that they have been archived. This allows us to fulfil our legal obligations.

3.3 Certificates

You can download the certificates you have obtained locally to your system as read-only PDF files. The certificates are offered for your own verification purposes.

3.4 Cookies

The YCT portal only uses a cookie if you allow cookies to be stored in your browser settings. The PHPSESSID (provider www.yct-certification.com) serves as an identification feature, so that you will find the same conditions (e.g. language) on all page requests. This cookie is only stored for the duration of your visit. We wish to point out that you may no longer be able to use all functions of the YCT portal after deactivation of the cookie.

Purpose and legal basis for data processing:

The cookie we use is a cookie that is technically necessary. The legal basis for the use of this cookie is our legitimate interest in maintaining the functionality of the Internet page.

4 Personal data transmitted by you or the Ypsomed trainer

Before you can access the YCT portal, your Ypsomed trainer must create a basic user profile for you. The following data about you is collected in the basic user profile:

  • Surname, first name
  • E-mail address
  • Country (allows the assignment of tests valid for the respective country and regulates the country-specific access)
  • Language (allows assignment of the tests in the correct language version)
  • Deputy Ypsomed trainer.

To complete the registration process, you must accept the YCT Portal Terms of Use.

You must also complete your user profile. To do this, the following obligatory information is required:

  • Salutation
  • Employer
  • Place
  • Postal code

In addition, you can add the following voluntary information to your user profile:

  • Hospitals
  • Telephone number

You can amend and correct your profile later at any time.

Legal basis for data processing:

The legal basis for processing your data is your consent. Please note that you have already given us your prior consent for the creation of the basic user profile.

5 Security, access and data storage

5.1 Encryption

The connection to the YCT portal is encrypted (SSL). Furthermore, all passwords are stored encrypted in the system. All e-mails from the system are also sent via an encrypted connection, insofar as permitted by your provider.

5.2 Access rights

The access rights and the view of the data in the YCT portal are regulated as follows:

  • As a pump trainer you can only see your own data (user profile, tests, certificates)
  • The Ypsomed trainer and his/her deputy only have access to the accounts of the pump trainers directly assigned to them.
  • The "Portal Administrator" has access to all user information for the purpose of global user management.
    • Certificates: type, status of the certificate tests or certificates, as well as country and language.
    • User data: e-mail, name, Ypsomed Trainer, last login, salutation, title, employer, hospitals, telephone number, city, postal code and whether the pump trainer has already been certified before
    The Portal Administrator is an employee of Ypsomed AG.
  • Employees of the Internet agency e3N (address see 6.1) with the role "System Administrator" have full access to all system, file and database data for system administration purposes.

6 Processing of the collected data

6.1 Forwarding of personal data to third parties

We do not pass on any personal data about you obtained through the YCT portal for marketing purposes.

The Ypsomed trainer to whom you are assigned exports the test protocols and certificates in PDF format from the YCT portal and archives them in Ypsomed AG's SAP archive. The server of the SAP archive is located in Switzerland

We also share your personal data with our service providers, the maxcluster GmbH (Technologiepark 8, 33100 Paderborn, Germany) and our Internet agency e3N (e3N Internetagentur, Göttelmannstraße 13A, 55130 Mainz, Germany) in connection with operation and technical maintenance work.

All companies of the Ypsomed Group comply with the data protection regulations. We also oblige our service providers to respect data protection and data security and to process the data in the same way as we do.

We only disclose personal data on the basis of legal requirements, court orders or official regulations, or if this is necessary for audits or official investigations and if security is threatened.

6.2 Duration of storage

After completion of your service as a pump trainer, your user profile and thus all your personal data will be deleted in the YCT portal.

The test protocols and certificates remain stored in Ypsomed's SAP archive for 5 years for auditing purposes after the end of your services as a pump trainer. After expiry of this period, the data will be irrevocably deleted.

Final provisions

7 Your rights in terms of your personal data in the YCT portal

7.1 Right to information, correction and deletion

You may at any time, at the address given at the end of these Terms of Use, request information in writing as to which personal data we process about you as well as demand the correction or deletion of your data. We will endeavour to correct or delete your data immediately upon request. However, it is possible that the data may still be needed for the purposes for which they were collected or processed, or that legal regulations may conflict with your request.

7.2 Right of complaint to a supervisory authority

You can lodge a complaint with the data protection supervisory authority of your usual place of residence or workplace or our registered office if you have doubts that your data are being processed in a legally compliant manner.

7.3 Right of revocation

You can revoke your consent at any time by e-mail to the address given at the end of these Terms of Use.

In the event of revocation, your user account will initially be blocked for 10 days and your Ypsomed trainer will be informed of your revocation. If the revocation is not withdrawn within the ten-day period, your account will be irrevocably deleted by the Portal Administrator.

8 Changes to the Terms of Use and Privacy Policy

Ypsomed reserves the right to amend, supplement or delete these Terms of Use and Privacy Policy, contents and links on the YCT portal at any time and without prior notice.

You must actively accept each change before you can access the YCT portal again. If you do not accept the changes, Ypsomed is obliged and entitled to block you as a user.
